Cliff & Co / FAQ

01

Understanding Cliff

What does Cliff actually do?

Cliff prepares work, coordinates approved actions, follows up open items, surfaces exceptions and records what happened. It works across the systems an organisation already uses while authorised people remain responsible for material decisions.

What is a managed AI operating system?

It combines an operating platform with an ongoing managed service. Cliff connects information, work, approvals and evidence across an organisation so important work can move from request to verified completion.

How is Cliff different from an automation, copilot or standalone AI agent?

A standalone tool usually assists with or automates one task. Cliff connects related work across systems and people, carries the operating context forward and keeps authority, exceptions and completion visible.

02

How an engagement works

Where does Cliff begin?

We begin with an operating review, select one valuable workflow and agree on the outcome, authority boundaries and evidence required. The first workflow is proven before adjacent capability is added.

How long does an initial engagement take?

Timing depends on the workflow, systems, information quality and approval requirements. The scope and delivery stages are agreed after the operating review rather than promised through a standard implementation period.

Do we need to replace our existing systems?

Usually not. Cliff is designed to work across the software and information an organisation already relies on. Any proposed system change is considered separately and only where it supports the agreed outcome.

Can Cliff expand into other workflows?

Yes. Once the first workflow is operating reliably, Cliff can expand carefully into related work where the operating context, controls and measurable value support it.

03

Authority and governance

Does Cliff make decisions independently?

Cliff can prepare recommendations and carry out actions within defined permissions. Material commercial, technical, financial and people decisions remain with authorised individuals unless a client has expressly approved a different boundary.

How are approvals and exceptions handled?

Approval rules are defined around the organisation. Work requiring judgement is routed to the right person, unusual conditions are surfaced and the decision, rationale and resulting action can be recorded.

Can we see what Cliff has done?

The operating model is designed to preserve evidence of important actions, approvals, exceptions and outcomes. The exact record available depends on the workflow and systems involved.

04

Technology and ownership

Can Cliff integrate with our current software?

Cliff is designed to connect with existing systems where suitable interfaces and permissions are available. Integration feasibility, security and responsibility are assessed during scoping.

Can an organisation own software developed for it?

Yes. Cliff is normally delivered through our proprietary managed platform, but dedicated or customer-owned software can be separately scoped where ownership, sovereignty or deployment requirements justify it.

What is the difference between proprietary and customer-owned software?

Proprietary software remains owned by Cliff & Co and is provided under agreed usage rights. Customer-owned software is developed under a separate agreement that defines which code, configurations and intellectual property transfer to the customer, together with hosting and support responsibilities.

05

Data and AI

Who owns an organisation’s information?

The organisation retains its rights in the information it provides. Cliff & Co handles that information only for agreed purposes, subject to the applicable client agreement and law.

Is customer information used to train general AI models?

Not without the customer’s express written agreement. Where third-party AI or cloud providers are used, their role, relevant controls and processing arrangements are considered as part of the service design and client terms.

Where is information processed?

This depends on the selected infrastructure, integrations and service providers. Material hosting and overseas-processing arrangements are identified during contracting so the organisation can assess them before substantive information is processed.

What happens to information when an engagement ends?

Return, retention and deletion requirements are agreed with the organisation and remain subject to legal, security, backup and record-keeping obligations.

06

Getting started

What types of organisations are suitable for Cliff?

Cliff is intended for organisations with valuable recurring work that crosses systems, teams or approval boundaries and where stronger preparation, coordination and visibility would create meaningful operating capacity.

What does Cliff need from our team?

We need access to the people who understand the work, the relevant process and system context, and the authorised owners who can confirm rules, exceptions and acceptable outcomes.

How do we start a conversation?

Contact Cliff & Co with the operating problem you want to improve. We will discuss the current workflow, where it slows down and whether an operating review is the appropriate next step.
